Booking and Payment
By booking a room at The Vicarage B&B, you are agreeing that you and all members of your party agree to and are bound by the Terms & Conditions detailed below.
When you make your booking and we have received the required deposit or taken a debit or credit card number to secure the booking, a legally binding contract exists between us that may be non-cancellable and non-refundable, depending on the room rate you have booked. You may still remain liable to pay in full or in part for the booking, even if you are unable to stay. Even where you have not paid in full at the time of cancellation, you will remain liable for the full cost.
If for some reason you do need to cancel, we request that you tell us at the first opportunity so that we may attempt to re-let your room and minimise your loss. We recommend you take out cancellation insurance to protect you against possible loss.
All bookings must be paid in full prior to check-in. Your card will be charged in full or with the outstanding balance in the 96 hours before check-in, or you may pay by BACS on request. Special offers and rates may be non-refundable.
Please note, if you made your booking via a third party website (e.g. booking.com), your contract of booking is with us and not them, and therefore our detailed Terms & Conditions published on our own website (www.thevicarageharrogate.com) will take precedence and you are bound by these automatically. The free cancellation period for bookings made on third-party sites is up to 30 days prior to check-in rather than the 4 days for direct bookings.
Your Reservation Confirmation email sets out the terms of the booking you have made. Please check this carefully – it is your responsibility to contact us immediately if any details are incorrect.
We reserve the right to charge your card as detailed in our cancellation policy in the event of a no-show or should the booking be cancelled. By entering into this contract you are authorising us to make these charges without additional consent being required.
A cancellation must be made in writing by email. A cancellation is not valid unless you receive a cancellation email from The Vicarage B&B.
Direct bookings : more than 4 day’s notice – no charge for standard rate bookings. Any deposit or payment made will be refunded to the original card. Different cancellation periods and conditions will apply if you made your booking on a 3rd party website. Less than 4 day’s notice – no refund of a deposit or pre-payment will be due. The outstanding balance will remain due. Non-arrival (no-show) for a booking will be treated as a cancellation and the full booking value will be charged, regardless of the reason – you will be advised to claim against your travel insurance. We therefore strongly advise our guests to take out suitable holiday cancellation insurance to cover their stay for any unforeseen circumstances.
Should you need to curtail your stay and leave earlier than planned, the total value of your entire stay will still be due.
PLEASE NOTE – if you booked a special rate or non-refundable package or offer then the above cancellation terms may not apply. Please refer to your offer booking conditions.
The Vicarage B&B would only cancel your stay if your accommodation were unavailable for reasons beyond our control. We would, however, attempt to offer you alternative accommodation. If this were not possible or unacceptable to you, then we would refund all monies paid by you for your stay. Except in exceptional circumstances, our liability would not extend beyond this refund.
On standard rate direct bookings, you can cancel free of charge up to four days (defined as 96 hours) before a 4pm check-in. For example, a Friday check-in may be cancelled without penalty up to 4pm on the previous Monday. No better cancellation terms are available on any other website. All other rates or offers are subject to different cancellation policies and in some cases may not be refundable. It is 30 days on third party websites.
Changing your Booking
Should you request to change the dates of your booking, this will be subject to availability and may be subject to a higher room price. Changes made less than 96 hours before check-in are classed as a cancellation of booking and are subject to our cancellation terms & conditions.
Check-in is between 4 pm & 7 pm and check-out is by 11 am. Early check-in or late check-out options may be available for fee of £20.
We understand that events and weddings don’t tend to take check-in times into account. Please note, we are not able to provide free early-check-ins on one night stays at any time. If you really need early access to your room, then we encourage you to book the previous night and have a leisurely stay.
Circumstances Beyond Our Control
We cannot accept responsibility for unforeseen circumstances beyond our control. These include (but are not limited to) adverse weather conditions, fire, riot, war, terrorist activity (or threat of such activity), industrial dispute, natural disaster, or injuries and death of an individual(s) through accidental circumstances unconnected with The Vicarage B&B.
By making a booking you are accepting responsibility for any damage or loss caused by yourself or a member of your party. Full payment for any such damage or loss must be paid to the provider upon demand. If you fail to do so, you will be responsible for meeting any claims subsequently made (together with our own and the other party’s full legal costs) as a result of your actions.
If you or any member of your party has a medical problem, allergy or disability which may affect your stay, please call us to advise us so that we can make provision for the particular need(s) of the persons(s) concerned. In turn we may have to advise you that we are unable to make such provision. If details are not provided to us at the time of booking, The Vicarage reserves the right to cancel the booking should it be unable to make appropriate provision for a specific need or needs. Rates and Offers
Our room prices are “fluid” which means that they increase and decrease due to demand and/or season. All prices are correct and subject to availability at the time of booking. Prices may change at any time without prior warning or notice and cannot be amended once booked. Please note that the best rate is always available via our own website.
Please note that special offers are available on room prices and packages from time to time but cannot be used in conjunction with any other offer, reduced rate or special deal. Some offers require full payment on booking – these offers are non-cancellable, non-changeable and non-refundable and 100% of the total booking will be charged in the event of cancellation or no-show. Vouchers cannot be used to book offers. Offers are subject to availability and can be changed or withdrawn at any time. Offers are applicable only when booked direct by phone or on our own website. Normal booking and cancellation Terms & Conditions apply unless otherwise stated. Offers may exclude some rooms or suites. Offers cannot be added retrospectively and must be quoted at the time of booking and are applicable to new bookings only. Offers are not automatically applied and must be quoted in order to be claimed.
We reserve the right to charge a non-refundable deposit on block bookings, longer stays and during major events. If you do not consent to this you may cancel when the deposit is requested.
We guarantee that the best rates will be on our own website. If you find a better rate elsewhere, please contact us. We will match any other rate provided it is a fully-inclusive rate for the same room, for the same dates and with the same terms and conditions. We price match only on rates quoted in Sterling.
We do not accept children under the age of 18. If one party has booked all 3 rooms for the same stay, it may be possible to accommodate a baby accompanied by parent(s) in ASH. We do not provide any special food or equipment. Parents must bring a suitable cot. This is however subject to prior arrangement with us and should not be assumed.
Damage or Theft
We reserve the right to charge for the replacement, cleaning or repair of any item(s) belonging to The Vicarage, or the fabric of the property itself, damaged either willfully or because reasonable precautions have not been taken. This also applies to any item(s) taken wilfully or accidentally from the room when you check out. In such cases your payment card will charged without prior consent being required for the costs incurred.
We are sorry that we do not accept any pets.
We do not provide food other than breakfast. You are most welcome to use the pantry for your own food and to consume food in your room. Please be respectful of the furnishings and avoid spillages. Please also leave food waste in a bin outside the room before bedtime and alert us so that we can remove it.
It is your responsibility to ensure that any travel insurance cover you have provides adequate cover for your needs and for the duration of your stay. If you cancel your booking, you will be asked to contact your insurance provider to recoup your costs so please ensure you have some.
On check in, you will be issued with a key on a key fob which opens your room door. It is your responsibility to ensure safety of your key at all times and return it at the end of your stay on check out. Failure to do so, to return keys within 7 days or loss of key fob will be subject to a minimum lost key charge of £50.
Any lost property items will be disposed of at the end of the subsequent month after the visit took place. Should you wish an item to be returned to you, a minimum charge of £10 will be charged to cover postage, packing and administration (payable by BACS). It is your responsibility to contact us should you think you may have left an item behind. Items sent will be by the cheapest method available. Should you require a particular courier or insurance level, please advise us. We assume no responsibility for the loss or damage of your item whilst in transit.
Parking & Storage
We provide one dedicated car parking space per guest room. Please park considerately so all guests have adequate space. We cannot accept liability for any damage or theft to vehicles or contents whilst parked within our car park. We can safely store bikes in the garage. Please note that guests do not have access to this storage area and you will need to arrange in advance what time you wish to have your bike back.
Smoking, Vaping and E-cigarettes
We operate a strict no-smoking policy throughout the property. Smoking is permitted outside where a butt bucket is provided by the log store. Do not dispose of butts in your room at any time.
It is against the law to smoke in a public building. Out of fairness to the next guest and to maintain our integrity as a clean and non-smoking establishment, please do not smoke in your bedroom or in the vicinity of ther guest rooms. If we deem there to be a smell of smoke after your departure which disrupts or affects future bookings, we will make a charge to compensate us for this. It is usual for us to charge a minimum of an amount equal to a further night’s stay.
Under fire regulations, permission from the owners must be requested prior to any visitors arriving. Visitors must have left the premises by 10pm.
The Vicarage B&B vouchers are valid for a set period from date of issue and will expire if a booking has not taken place by this date. Not redeemable for cash and no change given. Minimum stay and usual T&Cs will apply. A debit or credit card is still required to guarantee the booking. May only be used in conjunction with offers / reduced rates at our discretion.
Wireless Internet Access
Wireless internet access is provided free of charge in guest rooms. This is a complimentary service and we do not guarantee wifi availability, speed or compatibility with any devices. If you use our wifi connection then it is presumed that you have read and understood the conditions of use and agree to abide by them.
You will be connecting to a public network, and the security of your internet browsing device is your own responsibility. We strongly recommend the use of frequently updated firewall and anti-virus software. We do not guarantee the security of any internet services you access on the smart TV and it is also your responsibility to ensure you log out of any personal accounts you may have used.
We do not endorse or recommend the use of any websites or other internet related services. You use this facility entirely at your own risk. We have no responsibility for, or control over, what you access, transmit or receive and do not guarantee that any services will be available or are error or virus free. You accept that it is your responsibility entirely to protect your information and that you have adequate security (in terms of equipment and procedures) to ensure the security, integrity and confidentiality of your personal information and data.
Apart from the purposes of network diagnostics, we do not examine the use to which you put the internet service or the nature of the information you send or receive. You agree and acknowledge that we may keep a log of the Internet Protocol (“IP”) addresses and Media Access Control (MAC) addresses of any devices which access the Service, the times when they have accessed the Service and the activity associated with that IP address or MAC address.
We reserve the right at all times to withdraw service, change the specifications or manner of use, to change access codes, passwords or other security information necessary to access the internet.
You agree to compensate us fully for any claims or legal action made or threatened against us by someone else because you have used the service in breach of any terms and conditions, fair usage policy or criminal/illegal activity. By using the service, you further agree we are entitled to co-operate with law enforcement authorities and rights-holders in the investigation of any suspected or alleged illegal activity by you which may include, but is not limited to, disclosure of such information as we have, and are entitled to provide by law, to law enforcement authorities or rights-holders.
We have no responsibility (to the extent permitted by law) to compensate you (whether or not we are negligent) for any direct financial loss, loss of profit, revenue, time, anticipated savings or profit or revenue, opportunity, data, use, business, wasted expenditure, business interruption, loss arising from disclosure of confidential information, loss arising from or in connection with use of the Service or inability to use or access the Service or a failure, suspension or withdrawal of all or part of the Service at any time or damage to physical property or for any other similar direct loss that may arise in relation to this agreement whether or not we were advised in advance of the possibility of such loss or damage.
