This Privacy Policy explains how we at The Vicarage B&B use any personal information we collect about you.

The information we collect about you

When you make an enquiry or a booking with us we may collect the names of all the guests who will be staying, home or business address, email address and telephone number of the person making the booking. We also collect a debit or credit card number to secure your booking. We also record any other information you choose to provide that you feel is relevant to your stay, such as dietary requirements, mobility issues, purpose of your stay or any other requests.

How we use the information we hold on you

We use your home address as part of card payment processing to validate the card.

We will use your email address to send you confirmation of your booking and an email with more details on how to find us and other information you may find useful for your stay.

After your stay, you will receive an automatic email from our booking system asking you for feedback or a review and offering you ways to stay in contact with us by social media or email if you choose to do so.

We may use your mobile phone number to contact you on the day of arrival, for example, to request your approximate time of arrival, if you have not already told us.

We use any other information you provide to tailor your stay. This may include providing your name and phone number to a restaurant if you have specifically asked us to make a reservation on your behalf. We share data with any third parties only if necessary to provide the services you have booked.

How your data is stored

All of the personal and debit/credit card data you supply us, as part of the enquiry or room booking process, is stored securely on a third party booking system, InnStyle, where payments processing is handled by Stripe. Gift voucher purchases may alternatively be entered on the Square payment system as vouchers may not be linked immediately to a specific date and booking. These databases are is fully compliant with the GDPR data rules. We can view only the last 4 digits and the expiry date of any card. If you provide credit/debit card details by phone or in person these will be entered manually into the relevant secure payment system and this will be the only place they are stored.

Neither we nor any third parties we work with will share your information with any other third party unless there is a legal reason for doing so.


We would like to stay in touch with you to send information about The Vicarage, any special promotions we may run or information as part of a loyalty scheme. We send occasional emails (normally no more than one a month) to people on our distribution list. The distribution list is managed by a secure third party, Mailchimp. You can change your preferences or unsubscribe via Mailchimp at any time.

Guest Registration

On arrival, we require you to verify your identity and booking details by signing a printed registration form that includes the personal information you (or your representative) have provided. This registration form is kept in a secure location and can only be accessed by authorised personnel. This form is only kept for as long as is reasonable and is destroyed securely.

Use of our website

Our website uses Google Analytics, a web-based analytics tool that tracks and reports on the manner in which the website is used to help us to improve it. Google Analytics does this by placing small text files called ‘cookies’ on your device. The information that the cookies collect, such as the number of visitors to the site, the pages visited and the length of time spent on the site, is aggregated and therefore anonymous. You may refuse the use of cookies or withdraw your consent at any time by selecting the appropriate settings on your browser but please note that this may affect your use and experience of our website. Our policy is to ensure that our business and our staff conduct themselves appropriately online. We will never ask for user passwords or personal details on social media platforms. Users are advised to conduct themselves appropriately when engaging with us on social media.

There may be instances where our website features social sharing buttons, which help share web content directly from web pages to the respective social media platforms.
